FAQs

This page will be updated regularly, especially as we build up the Conference. Please check back regularly!

To provide a space for the broader environmental peacebuilding community to engage in the process leading up to the Conference, we have created the Path to Ottawa, which will run from June 2025 through March 2026.  Please find more information here.

Proposals:

How do I submit proposals for the Conference?

The submission portal for presentations, posters, panels, and workshops is here. The priority deadline (October 6, 2025) has passed, however, proposals are still being considered on a rolling basis, as space permits.

Registration:

Is there a registration fee?

All in-person conference participants, including speakers, will have to pay a registration fee. In-person fees are $425 for members of the Environmental Peacebuilding Association and $550 for nonmembers. If you are not yet a member, please consider joining (rates begin at $30/year).  More information is available here.

There will be a separate day for entirely virtual sessions which is free to participate in and attend (i.e., no registration fee).

When you register here, you will have a choice of selecting the Virtual Day (free), in-person (registration fee), or both (registration fee).

I'm speaking at the Conference. Do I need to register?

All conference participants, including speakers, will have to pay the conference registration fees if they are participating in sessions held June 16-19, 2026. This applies whether they are in-person or not.

I really want to participate, but I cannot afford the conference registration fee.  What are my options?

There will be a separate day for entirely virtual sessions that is free to participate in and to attend. More information on registering for the virtual day is available here

The Conference Fellows Program provides financial support for emerging professionals to attend the conference in June. The application deadline for the Conference Fellows Program has closed, and we are not accepting late applications.  We hope to inform the Fellows of their selection by December 15, 2025.

Applications for travel grants will open soon. Please keep an eye out on our webpage for more details. We expect that the demand for travel grants will far exceed available funding.

Travel:

Will I need a visa to travel to Ottawa?

Visa requirements to travel to Ottawa vary by country. Visa applications often need at least 2 to 3 months–or longer. See more information on processing times here: https://www.canada.ca/en/immigration-refugees-citizenship/services/application/check-processing-times.html. Visa support letters can be provided by the University of Ottawa only after attendance is confirmed and conference registration fee has been paid.

For these reasons, if you need a visa, we encourage you to complete registration as soon as possible (and no later than February 15, 2026).  After February 15, 2026, we will continue providing visa letters (until April 15, 2026).

If your visa application is denied:

  • If you registered by February 15, 2026, you can receive a full refund.  To receive a full refund, you must (1) provide the letter denying your visa request, and (2) inform the Conference Organizing Committee no later than May 15, 2026.

  • If you registered after February 15, 2026 and had your visa application denied, there is no refund.

So, please register as soon as you can, and – if you need a letter to support a visa application – no later than February 15, 2026.
